Aldersgate UMC in Olathe, Kansas, is seeking an office administrator.

Primary Function:

Works closely with administrative assistant, bookkeeper and program staff to oversee all activities of the main church office, as well as providing support, as needed, to members and volunteers.

Key Responsibilities:

  • Oversee creation of weekly church communication items — bulletin, news announcements, e-newsletter — by working closely with the senior pastor and program staff to determine content
  • Gather, organize and disseminate information in a timely manner, ensuring that information is accurate and shared appropriately; share pertinent information with preschool staff in a timely manner
  • Select and maintain correct venues for information dissemination: website, emails, electronic newsletters, Facebook, church calendars, bulletin inserts, or other printed material; create weekly projection schedule for Sunday morning worship
  • Assist senior pastor and program staff, as needed, in event planning and coordination
  • Handle accounts payable (as needed in case of accounting clerk’s absence.)
  • Process payroll (as needed in case of accounting clerk’s absence)
  • Monitor office equipment and church facilities, coordinating with appropriate support personnel or trustees, in the event of equipment or facility issues
  • Schedule special support personnel for internal and external needs, coordinating with preschool staff, Boy Scouts and other groups. (i.e. cleaning of carpets and floors, snow plowing, etc.)
  • Coordinate facility use with internal and external organizations
  • Perform normal office functions regarding visitors, phone calls, mail
  • Monitor supplies; order or purchase as needed
  • Organize and work with volunteers in a pleasant and helpful manner.
  • Strong written and verbal communication skills
  • Experience in an office setting
  • Proficient in office computer programs (MS Windows, Word, Publisher, Excel, PowerPoint, Outlook, Quickbooks)
  • Strong organizational and time management skills
  • Willingness to learn new computer skills and software
  • Detail oriented, with an eye to excellence
  • Have the ability to work independently
  • Able to prioritize and manage multiple projects simultaneously

  • Receive and greet all visitors and members in a professional and warm manner
Hours: Full-time position, (40 hours per week.)
Education: College graduate or equivalent work-related experience
